Payment & Deposit Policy

1. Overview

This Payment & Deposit Policy ("Policy") explains how payments are collected for services purchased through the BalanceBit Solutions website (https://balancebitsolutions.com). By placing an order, you agree to the payment terms described in this Policy, our Terms of Service, and the Service Agreement generated at checkout.

2. Advance Commitment Deposit (15%)

To confirm an order and initiate project discovery, design, or development sprints, a 15% advance commitment deposit of the total project cost is required at the time of order confirmation. This deposit:

• Confirms the order and reserves dedicated project team resources.
• Covers the initial discovery, architecture, and kickoff phase.
• Is non-refundable once project work has commenced (see Section 6).
• Is applied against the total project value; the remaining balance is due on milestone approvals (35% on design approval, 50% on final launch).

3. Payment Methods

We currently accept the following payment methods at checkout:

3.1 Payoneer (Recommended)

• After checkout, we send a secure Payoneer payment request/invoice link to your email within 3-5 minutes.
• Pay using Credit / Debit Card (Visa, Mastercard, AMEX), US ACH, UK Local Bank Transfer, or your Payoneer Balance.
• Deposits are confirmed automatically once the payment completes.

3.2 Bank / Wise Transfer

• Bank account details (including IBAN and SWIFT/BIC where applicable) are displayed at checkout.
• You submit the transfer reference (TXN ID) and optionally upload the receipt at checkout.
• We verify transfers within 24 hours on business days and confirm by email.

3.3 Upwork (Escrow)

• For clients who prefer Upwork protection, orders are placed through our Upwork agency profile link shown at checkout.
• The 15% deposit is held in Upwork escrow and released per the contract milestones.

3.4 Stripe (Coming Soon)

Direct card payments via Stripe are not yet available at checkout. This option will be activated soon.

4. Currency

All prices and payments are in US Dollars (USD) unless otherwise stated. For bank transfers, your bank may charge intermediary or currency conversion fees; please ensure the deposited amount equals the invoiced amount in USD.

5. Payment Confirmation

• Payoneer: Confirmed automatically within minutes of payment.
• Bank / Wise: Verified within 24 hours on business days. If we need additional information, we will contact you by email.
• Upwork: Confirmed when the escrow funds are released.

You will receive a confirmation email, and your order status will update to "Deposit Paid" in your order details page. Our project manager will then contact you within 2 hours with your Project Roadmap and SLA Contract.

6. Refunds & Cancellations

• If you cancel within 7 days of deposit payment and work has not yet commenced, the deposit is fully refunded.
• The deposit becomes non-refundable once project work has commenced.
• Refunds are processed to the original payment method within 5-10 business days after approval.
• Unauthorized chargebacks may result in suspension of the project and removal of delivered assets.

7. Late Payment

Late milestone payments may incur a fee of 1.5% per month on the outstanding balance. Work may be suspended on projects with overdue payments and will resume once cleared.

8. Changes to This Policy

We may update this Policy from time to time. Material changes will be posted on this page with a revised "Last Updated" date. Continued use of our services after changes take effect constitutes acceptance of the updated Policy.
